Global Risk is a thriving and expert risk management function supporting HSBC globally with all aspects of risk management. The team actively manages a varied and dynamic range of risk types, including security, fraud, information security, contingency, geopolitical, operational, credit, pension, insurance, financial crime and regulatory compliance, market and reputation risks. All parts of the Global Risk team use their skills, insight and integrity to handle established threats and those they see emerging, acting to protect and enable HSBC to deliver sustainable growth.

We are currently seeking a high caliber professional to join our team as Administration Associate.

In this role, you will

  • Manage appointments and meetings scheduling, maintain an updated diary records and the meeting background and materials for Regional Head of Independent Model Review Risk Strategy, Head of Asia Pacific Risk Transformation, Head of Credit Review Asia Pacific and Global Wholesale, Chief Risk Administrative Officer, Regional Head of Risk Appetite and Risk Governance.
  • To draft, type, and file correspondences for the above senior managers.
  • To daily plan and perform all secretarial duties independently.
  • To cover for the secretary to Asia Pacific Risk Chief Operating Officer and Regional Head of Risk Strategy
  • Arrange to set up regular video and telephone conferences calls for the above senior managers and ensure take place smoothly and arrange the related logistics.
  • Arrange short term attachment and visitors programmes, itineraries, and related logistics
  • Prepare travel arrangement, flight and hotel reservation for the corresponding teams and reimbursement.
  • Prepare and update presentations materials, reporting and Management Information for managers.
  • Maintain keys for pedestal and cabinets, temporary access card, access control administration log, team portal access, and petty cash.
  • Maintain core leave and training registers for the teams.
  • Arrange pantry supplies, fruits, stationaries, payment settlement, logistics for new joiners, leavers and transferees.
  • Reconcile spending with Cost Centre reports.
  • Maintain Desk Instruction Manuals.
  • Enforce Clean Desk policy within the teams.

To be successful in this role, you should meet the following requirements

  • Relevant University degree.
  • Ensuring that the internal and overseas colleagues requests are met within turnaround times, often working under time pressure.
  • Must be mature, skilful and reliable when handling confidential documents.
  • Working independently with minimal supervision.
  • Maintaining good working relations with team heads and colleagues through use of interpersonal skills.
  • The ability to provide efficient and quality secretarial duty and personal assistant to the bosses.
  • Coordinating with a large number of overseas offices and internal departments.
  • Good understanding and updating knowledge of the Risk structure and what various Risk teams do.
  • Prioritizing work to meet tight time schedules.
  • Being detail conscious.
  • Must be flexible, responsible and responsive.
