Our client is a leading international law firm with a diversified business practice representing commercial, industrial and financial enterprises both publicly and privately held. The Firm has a long history of social responsibility and supporting the communities in which our people live and work. The Hong Kong office is seeking an experienced Billing Supervisor for the Firm-wide Accounting team. This position communicates with clients regarding overdue bills and any requested client guideline requirements as required by the billing attorney

 

As a Billing Specialist, you will: 

  • Process edits and transfers to pre-bills as directed by billing attorneys keeping within the department standard turnaround time as well as Firm standards
  • Ensure time and disbursement entries on invoices are in accordance with client guidelines
  • Generate bills, reprint corrected pre-bills, and prepare cover letters if applicable
  • Follow up with billing attorneys regarding billing deadlines, status of pre-bills, prepared invoices before month end deadlines
  • Post bills with billing attorney approval and within billing deadlines, transmit to electronic invoice vendor if applicable
  • Copy and send posted invoices to attorney if necessary, scan posted invoices and pre-bills as department copy
  • Verify that all client bills requiring electronic submission through a third party vendor are correctly submitted and approved in the month of billing
  • Notify billing attorneys of delinquent accounts and respond as directed. May contact clients for payment with approval of billing attorney and/or Billings & Collections Chairman
  • Reconcile, research client accounts, payments, unapplied cash, etc. as necessary
  • Prepare and send reminder statements as directed by billing attorneys
  • Monitor the third party electronic billing system for possible rejection of bills that were submitted in previous months
  • Provide back-up assistance to other Billing Specialists when necessary

Job Requirements: 

  • Bachelor’s degree in Accounting
  • Minimum 3 years or more in billing experience
  • Preferable experience in law firm or external agency
  • Ability to meet tight deadlines
  • Basic data entry and typing skills
  • General accounting and organizational skills
  • Ability to communicate professionally with attorneys, secretaries, clients
