  • Perform Reception and Concierge duties in an efficient, professional and courteous manner at all times; and ensuring that the Reception area is maintained in a neat and tidy fashion
  • Management of the Switchboard, respond to general inquiries and administrative requests
  • Coordinate and set up meeting and conference rooms as outlined within the client guideline documents
  • Maintain the Security Access pass database: including adding new Users, removing Users, issue of temporary Security passes, auditing the Temporary Security access pass register on a fortnightly basis
  • Ensure sign in of Visitors in line with Client requirements
  • 100% compliance to GWS Safety Health & Environment Management System
  • Provide event coordination service
  • Raise Purchase Orders as required
  • Cross check invoices and process
  • Produce relevant Monthly Reports in line with Client / Johnson Controls requests - including, but not limited to: Meeting Room usage; Visitors; Contractors; Events etc
  • Directing Visitors to the correct location upon arrival
  • Assist with arranging transport services such as taxis
  • Provide assistance to the Facilities team as required, with tasks such as logging and closing service requests, monitoring utilities and courier expenditures.
  • Notify hosts of Visitors' arrival and where guests are not collected, make follow up calls
  • Actively ensure compliance of the Reception Service Level Agreements
  • Ensure all Safety and Training requirements are met and records are kept up to date at all times
  • Coordinate site specific beverage service, vending service and consumable related services
  • Manage the purchase, receipt, storage and issue/return of office supplies in compliance with customer's procedures
  • Coordinate in business card printing service and maintain business card template
  • Manage conference room booking
  • Manage medical kit and restock medical supplies prior to expiry dates
  • Update of current standard operations manual of front desk services
  • Other miscellaneous duties as required
