In our team, the Executive Assistant role is an important support position that helps the Managing Director manage business, external affairs, and public responsibilities effectively.

Role Mission
The main purpose of this role is to support the Managing Director in external communication and liaison work, including coordination with government departments, trade or business associations, and other external parties related to public duties.

Role Summary
We are looking for an experienced Executive Assistant to support the Managing Director in external communication, liaison, meeting coordination, and public affairs support.
We are currently recruiting an experienced administrative assistant to support the Managing Director in external communications, liaison, meeting arrangements, and business support.
This role is mainly focused on outside-facing work and will work closely with the Managing Director on public duties, stakeholder communication, and coordination with external parties.

We have two Executive Assistants in the team: this role is focused on external communication, while the other Executive Assistant is responsible for internal office support and daily administration.

Job Description Responsibilities
Support the Managing Director in external communication and liaison work.
Support the Managing Director's external communication and liaison work.
Coordinate with government departments, political parties, trade or business associations, and other external parties.
Liaise and coordinate with government departments, political parties, chambers of commerce or business associations, and other external entities.
Work closely with external consulting firms, including PR firms, legal firms, and financial institutions, to support the Managing Director's business and public affairs activities.
We work closely with external advisory firms, including public relations firms, law firms, and financial institutions, to support the Managing Director’s business and public affairs activities.
Assist with matters related to the Managing Director's public duties.
Assist in handling matters related to the Managing Director's official duties.
Manage external meetings, appointments, and related follow-up actions.
Arrange external meetings, appointments, and related follow-up work.
Prepare correspondence, reports, notes, and presentation materials.
Prepare letters, reports, meeting minutes, and briefing materials.
Help organize events, meetings, and stakeholder communication.
Assist in the preparation of events, meetings, and stakeholder communication.
Liaise with business partners, service providers, and internal teams as needed.
Contact business partners, service providers, and internal teams as needed.
Maintain confidentiality and handle sensitive matters with care.
Maintain a high degree of confidentiality and handle sensitive matters with caution.
Work closely with the other Executive Assistant to ensure smooth support between external and internal functions.

Ideal Candidate
At least 8 years of experience as an Executive Assistant, private secretary, project officer, or in a similar support role.
Must have at least 8 years of experience as an administrative assistant, personal secretary, project manager, or related support role.
Experience supporting a senior boss in public office or public affairs is highly preferred.
Those who have assisted their superiors in handling official duties or public affairs will be given priority consideration.
Experience in a family office, private office, PR, consulting, or fast-moving business environment is an advantage.
Candidates with experience in family offices, private offices, public relations, consulting firms, or fast-paced business environments are preferred.
Strong communication skills in English and Chinese.
Possesses excellent English and Chinese communication skills.
Good written and spoken Cantonese and Mandarin.

Able to write clearly, professionally, and quickly.

Strong sense of responsibility, discretion, and professionalism.

Preference will be given to candidates with a bachelor’s degree in business, communication or a related field.
