Purpose of Role

Understands the purpose and background of the business and the roles of other employees. Efficiently maintains the general administration of the office together with general recruitment support duties. Assists Recruitment staff with administrative duties and related tasks when required.

 

Key Responsibilities

 

Admin / Customer Service

  • Responsible for the overall administration functioning in the office.
  • Deliver quality customer service internally and externally.
  • Reviews and actions on all emails promptly. Monitors and escalates Job requirements in the absence of Account Managers.
  • Oversees all incoming and outgoing mails and maintains calendar bookings of all meeting rooms.
  • Preparation and/or formatting of CV's as requested, as well as saved in the appropriate directory.
  • Creation of new contracts for clients and contractors from briefs provided and collation of contractor packs for new contractors.
  • Record keeping, monitor completion of forms tasks including typing of letters and documents, filing, and other duties as required.
  • Resolves administrative problems by coordinating information, preparation of reports, data entry, analyzing data, identifying solutions and prepare to report.
  • Coordination of meetings including preparation of agenda and supporting materials, bookings, catering and travel arrangements.
  • Maintain records for the office such as; contact lists, office space, memos etc.

 

Administration Teamwork

  • Assists recruitment staff in all aspects of administration
  • Contributes to team effort by accomplishing related results as needed.

 

Financial Operations

  • Provide support to finance and payroll processing.

 

Continuous Administration Improvement

  • Maintains the database of new registrations and cessations.
  • Maintains all internet advertising requirements, including website co-ordination and maintenance.
  • Role model Talent business values.

 

Education & Qualifications

  • Degree Holder with minimum 1 year working experience
  • Bilingual in English and Cantonese
  • Intermediate MS Office skills
  • Knowledge of the Recruitment industry (desirable)
  • Strong communication skills
  • Fresh Graduated also welcome to apply
