Founded in 1884, The Hong Kong Jockey Club is a world-class racing club that acts continuously for the betterment of our society.

Administration Assistant (Racing Laboratory department)

The Department
Our Racing Laboratory Department in Sha Tin undertakes various types of research and testing on horses and riders to identify the use of prohibited substances or prohibited methods. It plays an essential role in doping control to ensure the fairness and integrity of racing and other equine sports, and is a leading laboratory in the field of equine drug testing.

The Job
You will:

  • Assist supervisor in the day-to-day office administration by carrying out assigned clerical duties.
  • Assist supervisor in managing the laboratory Drugs Database system by:
- maintaining, disposing, updating and receipt of drug stocks
- regularly reviewing stock level of all drug types to ensure sufficient levels are maintained to meet operational needs but no excessive quantities are stocked, to comply with the Dangerous Drugs Ordinance Cap 134
- working with Racing Chemist (Support) or his/her delegate on drug stock discrepancies and drug quantity amendment authorisation, and performing necessary drug stock count and check
  • Assist supervisor in running the laboratory supply stores by:
- receiving, unpacking, and proper filing of laboratory supplies and chemicals
- updating stock item records
- conducting regular physical stock checks and identifying discrepancies
- liaising with local and overseas suppliers on purchase orders and replenishing stocks
- preparing monthly consumption report
  • Provide secretarial support to the Racing Chemists/Racing Scientist and Chemists/Biochemist by:
- assisting in the maintenance and document control of the laboratory's quality manuals
- proper filing of test reports, scientific publications, etc.
- other secretarial duties
  • Assist in maintaining accurate computerised databases on staff leave and duty rosters records, laboratory supplies, reference drug standards, test equipment, test sample data, staff training records, scientific publications, and reference books by carrying out data entries and generating computer summary reports.
  • Assist in maintaining the smooth operation of the office library, including subscribing to reference books, journals and technical papers; overseeing check-in and check-out; and maintaining all records in the Library System.
  • Assist in coordinating with the Property Department (Facility Management) and contractors on the repair and maintenance of the laboratory, building services and special utilities.
  • Provide administrative support for receiving incoming samples, preparing charge reports and debit notes to Racing Laboratory clients.
  • Liaise with Finance and IT Departments to ensure staff payroll has been properly processed and IT requests have been fulfilled with appropriate service respectively.

About You
You should have:

  • Post-secondary education or equivalent
  • A minimum of one year’s relevant experience
  • Knowledge in Microsoft Word, Excel, and Access is highly preferable
  • Excellent time management skills and a continuous improvement mind set
  • Willingness to make suggestions and to try out new approaches
  • Demonstrated positive work attitude and work-discipline to develop good relationships with team and other stakeholders in the Club
  • Excellent analytical and problem solving skills
  • Ability to work well in a team and assist others to overcome obstacles and difficulties
  • Effective communication in English and Cantonese, Mandarin is a plus.
