Job Purpose:

To Support the Executive Assistant to Chief Retail Officer in the day to day general administrative functions of the Retail and Technology division in order to provide an efficient and responsive administration service to the departments

Job Responsibilities:

  • Secretarial and Administration support to the Management Team
  • To compile strategic reports and summary reports as required
  • To prepare presentations for use at internal meetings and vendor presentations
  • To report critical issues and events that require immediate action
  • To produce correspondences and reports using appropriate software and tools
  • To establish and maintain files and records
  • To arrange travel reservations and accommodations, ensuring that travel arrangements are made in accordance with company policy
  • To monitor and control operating expenses for agreed areas of responsibility
  • To assist in the ongoing tendering of contracts for assigned areas of responsibility, monitor ongoing costs to ensure they are in line with budget
  • To keep updated records of all administration information/data pertaining to the Retail Division for assigned areas of responsibility
  • To assist in budget planning and to prepare annual budget forecasts and monthly commitment reports and monitor all related expenses
  • To ensure that all updates and reports are submitted on time in organized and orderly manner with appropriate supporting documents and approvals
  • To streamline processes and implement efficient systems within the departments to ensure smooth running and operation of accounting procedures
  • To process all orders and invoices for the department in line with company policy and procedures and in line with concurrence
  • To handle all documentation relating to payment and ensure supplies are delivered on time


  • Degree holder
  • 3-5 years’ experience in administration or related areas
  • Excellent communications, attention to details, problem-solving and analytical skills
  • Excellent telephone manner, computer skills and Microsoft Office tools
  • Team player, Proactive, self-motivated with excellent interpersonal and communication skills
  • Good command of written and spoken English and Cantonese
