An American investment firm with overseas office in Hong Kong is currently seeking a candidate for the following position:
Administrative Assistant
Responsibilities:
- Provide administrative support for multiple professionals in for investor relations
- Organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate, welcoming guests
- Prepare/coordinate all materials for meetings & events
- Coordinate travel arrangement & road show events, including hotel, air ticket, cars, etc.
- Prepare and reconcile expense reports
- Answer and handle calls
- Input data into contact management system (Salesforce) (i.e. new contacts information, notes from meetings, etc.)
- Manage conference schedules
- Handle incoming correspondence, copying, faxing, scanning and filing
- Provide backup coverage for other administrative assistants
- Perform special projects if required
Requirements:
- Bachelor Degree holder in any disciple
- 5-8 years of experience working in a team which supports multiple senior professionals
- Previous experience in finance industry with marketing exposure is highly preferred
- Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook
- Ability to thrive in a fast paced, dynamic environment; must work well under pressure
- CRM Database management experience preferred, particularly in Salesforce
- Excellent organizational skills and strong attention to detail
- Ability to multi-task and handle project timely and accurately
- Must be self-motivated, self-directed and proactive
- Strong sense of professionalism and strong work ethic
- Ability to prioritize workload and recognize importance of demands given by the team
- Excellent communication skills, both verbal and written, including ability to communicate effectively and professionally with clients and senior management
- Discretion and ability to handle confidential, sensitive information
- Fluent in spoken and written English, Cantonese and Mandarin is a must
