An American investment firm with overseas office in Hong Kong is currently seeking a candidate for the following position:


Administrative Assistant 



  • Provide administrative support for multiple professionals in for investor relations 
  • Organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate, welcoming guests 
  • Prepare/coordinate all materials for meetings & events
  • Coordinate travel arrangement & road show events, including hotel, air ticket, cars, etc. 
  • Prepare and reconcile expense reports
  • Answer and handle calls
  • Input data into contact management system (Salesforce) (i.e. new contacts information, notes from meetings, etc.)
  • Manage conference schedules
  • Handle incoming correspondence, copying, faxing, scanning and filing
  • Provide backup coverage for other administrative assistants
  • Perform special projects if required



  • Bachelor Degree holder in any disciple
  • 5-8 years of experience working in a team which supports multiple senior professionals
  • Previous experience in finance industry with marketing exposure is highly preferred
  • Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook
  • Ability to thrive in a fast paced, dynamic environment; must work well under pressure
  • CRM Database management experience preferred, particularly in Salesforce
  • Excellent organizational skills and strong attention to detail
  • Ability to multi-task and handle project timely and accurately
  • Must be self-motivated, self-directed and proactive
  • Strong sense of professionalism and strong work ethic
  • Ability to prioritize workload and recognize importance of demands given by the team
  • Excellent communication skills, both verbal and written, including ability to communicate effectively and professionally with clients and senior management
  • Discretion and ability to handle confidential, sensitive information
  • Fluent in spoken and written English, Cantonese and Mandarin is a must
