With nearly 40 years of operating history, the business began as part of Ernst & Young and that professional services heritage has remained at its core as it has grown over the years to more than 500 staff, drawn from a wide range of backgrounds, including leading international law firms and the Big 4 accountancy practices.

Due to expansion, our Hong Kong office, conveniently located between Admiralty and Wanchai, with nearly 50 staff is now looking to expand its company secretarial division. We are therefore looking for motivated Trust Administration Manager to join our team.

Responsibilities:

 

  • Setting up and hands-on management of wealth-holding structures.
  • Responsible for administration of a portfolio of complex clients, trusts and companies including the preparation and/or review of relevant documentation in an accurate and efficient manner, maintaining a courteous and professional approach with both external and internal clients at all times.
  • oversight of legal, tax, compliance and reporting matters in cooperation with compliance and external specialists, including file reviews and deadline management.
  • Close collaboration with the compliance, client support, accounting and tax teams.
  • Ensure that client files are maintained to a high standard.
  • Assist with the technical queries that arise within the team, guiding and training more junior members of the team in respect of those technical matters.
  • Maintain relationships with clients and develop a full understanding of client business in order to improve the scope of services provided to clients and proactively discuss those opportunities with clients.
  • Assist with the day to day management of the Team in the absence of the Senior Manager, controlling and supervising the workload to ensure work is completed in an accurate, efficient and timely manner and advising on technical matters or client-related problems.
  • Utilising management reporting information to monitor and manage progress on key performance indicators (e.g. debtors, accounts, reviews).
  • Responsible for completion of time sheets to ensure clients are billed for time expended.
  • Demonstrate an ability to draft minutes and undertake preliminary reviews of external legal documents.
  • Act as a “B” Signatory to check and authorise work of the Client Services’ teams.
  • Identify opportunities to improve the scope of services provided to clients and proactively discuss those opportunities with clients.
  • Network with intermediaries and relevant business contacts to enhance the opportunities to do business with them.
  • Promote the Equiom brand and share our vision and values consistently both internally and externally.
  • Ensure compliance with Equiom standards, policies and procedures.

 

  • Undertake any other reasonable ad hoc tasks that may be required.

 

Requirements:

 

  • Possess a good understanding of any relevant tax legislation and demonstrate a willingness to understand tax changes as they arise.
  • Demonstrate a good understanding of external regulations and legislation and of the internal policies and procedures including anti-money laundering risk ratings and signing limits.
  • Maintain and develop good IT skills and be able to demonstrate skill set across the spectrum of the business systems.
  • Demonstrate a good understanding of trust and company law and administration along with a minimum of 6 years’ experience, ideally with two in a supervisory capacity.
  • Hold or be working towards an industry relevant qualification (e.g. STEP/ICSA) and commit to maintain professional knowledge through attendance at relevant seminars, webinars, presentations and reading.
  • Must be fluent in English and Mandarin.
