Job Position

Credit Controller – Hong Kong based

Reporting to

Hong Kong Managing Director & Credit Manager UK

Main responsibilities

w To follow Credit Policy & procedures as endorsed by the Audit Committee and the Group Board.

w Management and Collection of debt over 90 days old, for the Hong Kong and Singapore offices.

w Risk Assessment of new account openings.

w Accurate allocation and posting of payments received from customers (in GBP, HKD and SGD).

w Positively contribute to the Corney and Barrow monthly collection target.

w Collection and follow up of Annual Storage fees.

w Release and monitor held orders on a daily basis.

w Ensure that payment is received prior to shipment from the UK to HK or SG.

Specific responsibilities

Credit Control

w Management and Collection of overdue debt, with particular emphasis on debt that is 90 days or older.

w Place any overdue accounts on hold so that future orders are not keyed or released, until payment is received.

w 90 day debt must be 8% or lower, of the closing balance each month.

w All communications with customers must be recorded on their specific account, within Corney and Barrow’s CRM system.

w Respond to customer’s requests and/or queries on a daily basis, escalating to the Sales Account Manager where needed.

w Orders will be held if the customer is over their credit limit or overdue. These require constant monitoring and review throughout the day, up to the deadline.

w Follow up outstanding storage fees that are billed annually, by telephone call, email or letter, with recommendations for future action.

w Ensure that only paid for stock is approved for shipment from the UK to HK or SG.

w Hold Monthly Aged Debt Review Meetings with Hong Kong Managing Director and the Sales Managers in HK and SG, to review and agree actions on overdue debt.

w Positively contribute to monthly Ledger Review meetings held with Credit Manager.

w Prepare a fortnightly over 90 day balance report for the Credit Manager & Hong Kong Managing Director.

Risk Assessment and Customer Account Maintenance

w Ensure compliance to the Private and Commercial Customer Application Process (SE Asia)

w Ensure that the Sales Team submit correctly completed Account Application Forms and Internal Account Creation Request Forms for all new customers requiring credit terms.

w Liaise with the Companies Credit Reference Agency to obtain credit reports for all new On Trade / Trade customers requiring credit terms.

w Submit all documentation to Credit Manager & Hong Kong Managing Director for authorisation of credit terms and ensure these are applied accurately to Corney and Barrow’s CRM system, and that this is uploaded.

w Create any new accounts on Corney and Barrow’s CRM system where required and where a second account is needed (either in GBP or HKD or SGD).

w Ensure that any non-credit term accounts (Payment with Order) have the correct account settings applied.

w Ensure that all requests for a customer to be permitted a “Shipment before Payment” are authorised by a Director.

Sales Ledger Management

w Ensure that customers pay in the correct currency to match the currency of the account in which they have been invoiced.

w Accurately post, allocate and bank cheque payments received to the customer’s accounts ensuring that unallocated cash is kept to a minimum.

w Accurately post and allocate bank transfers recevied in to the local Hong Kong and Singapore bank accounts.

w Daily reconciliation of sales ledger receipts against the bank cash book to ensure cash posting errors to the incorrect bank nominal are kept to a minimum.

w Raise any Refunds and obtain authorisation as applicable.

Requirements

The successful candidate will be able to demonstrate that they have had previous experience self-managing an all-round role that includes sales ledger management and credit control. As this is a stand-alone position the ideal candidate must minimise the need to be prompted to carry out tasks that could be anticipated earlier, minimising requests for information on outstanding debts and risk assessment.

This is an all-encompassing role that supports our customers who range from prominent private individuals to top end hotels and restaurants. It is vital therefore that our style and approach in all communications with customers and colleagues is firm, fair,professional and helpful at all times in what is a very competitive market. Past experience in a luxury retail environment would be an advantage.
