JOB DESCRIPTION

The Customs & Shipping Coordinator is an active contributor in achieving department’s objectives and ensuring the movement of the merchandise into, around and out of DFS is carried out in a timely manner with regards to the Regional and Statutory requirements placed on DFS as a Duty Free importer and retailer.

The Customs & Shipping Coordinator is familiar with the company objectives, understand own contributions and works towards the achievement of these objectives.

Key Responsibilities:
Customs & Compliance

GENERAL
• Ensure compliance with relevant import and export laws and regulations.
• Maintain frequent open and effective communication with Freight Forwarders, Customs Brokers and internal team members 
• Support systems to ensure efficient Customs compliance in the areas of imports and exports

IMPORTS
• Verify accuracy of import documentation, arrange import clearance and transport and maintain log of activity
• Verify accuracy of work done by the appointed broker(s)
• Monitor issues effecting clearance and delivery and report through regulatory exception reports. Actively pursue issues to resolution. 
• Effect earliest possible delivery of imports to the Warehouse
• In conjunction with the warehouse be actively involved in resolution of problems associated with deliveries, booking and clearance discrepancies.
• Report on cycle time performance.

EXPORTS
• Prepare export documentation, arrange export clearance and transport 
• Maintain log of export activities

CLAIMS
• Prepare and submit value claims for established losses. 
• Communicate claims with Finance department to ensure proper and timely accounting
• Monitor value claims for established losses until resolution


Occupational Health & Safety
• Provide advice and feedback to Management on any anomalies and or concerns with respect to OHS performance or unresolved issues.
• Take all practical measures to minimise, isolate or eliminate hazards in the workplace. Ensure that the workplace is safe and behave in a manner that does not impose any risks to health & safety.
• Comply with reasonable instructions from any supervisor or authorised representative of the company regarding health and safety matters.
• Actively participate in the Emergency Response procedures.
• Report any accidents, injuries or hazards in the workplace to the site TM/Store Management.
• Monitor the reporting of accidents/injury and hazards in the workplace using the DFS systems and procedures. Follow up on appropriate actions.

General Duties 
• Complete internal reports and participate in various projects as/when required
• Actively pursue opportunities to reduce shipping lead times and cost.
• Perform specific compliance tasks in an efficient and timely manner.
• Support other functions in the proper co-ordination of merchandise movement 
• Complete reports for senior management as requested.
• Treat all management and fellow team-members with respect to support a team environment.
• Perform any other duties as requested in a diligent and conscientious manner.

Systems & Procedures
• Adhere to company policy and procedures relating to security and stock control, and monitor the team compliance.
• Actively facilitate, support and comply with all health and safety policy, procedures and regulations.
• Manage the team compliance with Customs regulations and relevant trading laws.

Key Requirements:
• Minimum 5 years experience in similar role
• Understanding of HS / Tariff Classification
• Customs Brokers Licence advantage
