This newly created post is to oversee the School’s migration of administrative systems and then to oversee their use and development.

  • The post is to commence in January 2020.
  • The Digital Systems Manager will report to the Assistant Head of School (Technology).


Kellett School has a wider digital strategy to move to Cloud-based services by September 2022. As part of this, Kellett is looking to move from its current School Management Information System, SIMS, to iSAMS. At the same time, the school is moving to an Office365 environment with an internal SharePoint site for internal communication and document management. The School has engaged a third-party firm, Hable UK, to do the groundwork for this transition and to provide on-going support.

Job Description:

Management Responsibilities

  • The Digital Systems Manager will oversee a Whole School Data Team comprising:
  • Data Manager
  • Data Administrator
  • The Digital Systems Manager will work closely with the Assistant and Deputy Headteachers in the three schools re. Academic tracking Data and Reporting;
  • The Digital Systems Manager will work closely with the HR Department, the Admissions Team and the Development Office;

Migration Responsibilities

1.    School Management Information System Migration

  • Overseeing the Data Sanitization of current Kellett Data held in SIMS;
  • Liaising with internal stakeholders over the transition from SIMS to iSAMS.
  • Liaising with the team at iSAMS over the migration;

2.    Migration to Office365 and the Development of SharePoint Admin Site

  • Liaising with key areas of the central administration (Finance, HR, Admissions, Development etc.) and the admin teams in the three schools (Pok Fu Lam Preparatory, Kowloon Bay Preparatory and Kowloon Bay Senior) over the development of SharePoint Team sites.
  • Overseeing the migration from legacy Google sites and from local servers onto the new SharePoint site.
  • Liaising with the team from Hable UK who will provide specialist technical support.


Long-term Responsibilities of the Data Team

1.    iSAMS - Database Management and Design.

  • Day-to-day management of key school data (Pupil Information, HR, safeguarding, certification etc.)
  • Liaising with the Development and Communications office over the functioning of the Parent Portal;
  • Generating templates for School reports;
  • Creating admissions workflows.

2.    Office 365/Azure AD – Setup, Integration and automation.

  • Overseeing the management of the Active Directory including the AD synchronization between local AD and Azure;
  • Setting up groups, permissions, MS Teams;

3.    SharePoint - Management, deployment and building.

  • Document management and retention,
  • Creating workflows and stream-lining processes;

4.    Power BI - Building dashboards.

  • Academic reporting, GL data, attendance, pastoral, admissions, and finance;
  • Liaising with relevant academic and administrative teams.

5.    Third Party Applications – Integration.

  • Integrating other new applications into Kellett eco-system
  • (e.g. Classroom Monitor, Century Tech)


Person Specification


It is recognised that few people will have relevant experience of all of the specific software packages and solutions that the School will be employing. However, the successful candidate should at least have experience of Management Information Systems and Databases and of Cloud-based documentation management systems (Office365 or Google Docs).

Training in specific packages will be available, as will on-going support from our third-party provider.

Personal Skills

  • The ability to communicate well (in written and spoken English);
  • The ability to work collaboratively as part of a team;
  • The willingness to be proactive in learning new skills;

Technical Skills

  • Experience of designing and managing databases is essential;
  • Experience of developing SharePoint sites is desirable;
  • Experience of working in PowerBI is desirable;
  • Experience of working in SQL and SSRS is desirable;
