As the Executive Assistant, you will report equally to Chief Financial Officer and Head of Operations, your responsibilities and duties include, but are not limited to:

Job Duties

  • Provide exemplary administrative support to each Manager and members of their team by: scheduling meetings and conference calls, maintaining calendars, arranging travel, managing correspondence, and securing necessary resources and information
  • Maintain office operations in terms of organizaing office layouts, liasie with building management and external vendors on office maintenance and renovation work when neccessary
  • Process department expenses, allocate administration fees
  • Manage contract database
  • Plan staff or external event logistics, including but not limited to retreats, socials, celebrations etc.
  • Be available for ad hoc support for events and projects

Job Requirements

  • Degree holder in Business Administration or related discipline
  • 3-5 years of relevant experiences working with multi-national companies or retail industry
  • Highly organized, diligent, strong communication and with good interpersonal skills
  • Experiences in office administration is an asset
  • Good command of written and spoken English and Chinese, French is a plus
  • Proficient in Microsoft Office applications, MS Word, Excel, PowerPoint and Chinese Word Processing
  • Experience in AX Dynamics, Microsoft solution is a plus
