We are looking for an individual to manage our reception area and organise and coordinate administration duties and office procedures. You will act as the ‘face’ of our company and ensure visitors receive a friendly welcome. You will also coordinate all administrative duties and serve as a point of contact for our clients, staff and vendors.  

As Front Office Manager, you should combine a dynamic and hard-working professional attitude with a pleasant personality. To be successful in this role, you should have excellent organisation skills and be able to work diligently under pressure with a high degree of attention to detail and discretion.  

Ultimately you will provide a friendly and professional service to our customers, provide administrative support to our staff and ensure all daily procedures run smoothly.

Position Description

Warmly greet and assist clients when they arrive. 

Schedule and manage appointments for the team. Handle phone calls, take and deliver messages and answer client and staff queries (via phone, email or in-person).

Deal efficiently with customer issues and complaints.

Maintain the front desk, supply room, changing areas and physical condition of the office and arrange necessary repairs.

Process, monitor and report on all office expenditures, regulations and contracts (rent, services etc.)

Perform basic bookkeeping duties and compile monthly financial records.  

Ensure all items are invoiced, payments collected and bills paid on time.

Prepare payroll contributions and cheques.

Follow establishedoffice workflow procedures to ensure maximum efficiency.

Organise office and assist Director and team in ways that optimise and streamline procedures.

Maintain employee, client and company records (physical and digital) diligently and accurately.

Monitor and manage inventory of physio and office supplies with attention to budget.  

Liaise with office and physio supply vendors, accountant, facilities management and IT support. 

Perform other assigned duties and take part in training interns and other part-time staff.

Candidate Requirements

A minimum of 3-5 years’ experience in a similar capacity. Experience in a physiotherapy, medical, gymnasium or spa environment will be a benefit. Candidates with less experience will also be considered provided they demonstrate capabilities in organisation, communication and the right personality attributes.  

Ideal candidates should possess:

Excellent communication and interpersonal skills.  

A thorough understanding of customer service, office management and basic bookkeeping procedures. 

Fluency in English (oral and written); Cantonese and Mandarin language capabilities a bonus. 

Organisational skills with the ability to multi-task and prioritise. 

Attention to detail, accuracy, efficiency and an ability to complete tasks with the minimum of supervision.  

Strong knowledge of MS Office (Word & Excel) and scanner and payment systems.

Reliable, responsive, patient and professional attitude.

High School Certificate. Additional administration or secretarial certification a plus.
