School Secretary (Ref. 20082705-E) 


Reporting to Dean of Graduate School, the appointee will assist to provide a full range of services and opportunities on matters pertinent to research postgraduate (RPg) education. The appointee will be required to:

(a) coordinate and supervise all aspects of administration in the School;

(b) provide supporting services to current and prospective RPg students, as well as their supervisors;

(c) support and assist the Dean in the planning, management, quality assurance and promotion of the University’s RPg education, as well as the day-to-day management of the School Office;

(d) assist the Dean in the administration of the School’s finances, including the various funding schemes related to RPg studies;

(e) support the Dean in facilitating interdisciplinary research collaborations of RPg students with other research teams;

(f) support the Dean in establishing national and international collaborations for RPg studies and RPg student exchange programmes;

(g) coordinate and organize events and activities pertaining to the recruitment, education, engagement and career development of RPg students in partnership with Faculties, Schools, Departments, other internal offices and external parties;

(h) collaborate with the alumni office, Faculties, Schools and Departments in coordinating alumni activities for RPg programme graduates;

(i) provide secretarial services for the School Board and other committees, working groups and/or task forces as assigned by the Dean of the School or his/her delegates;

(j) compile relevant statistics and publications;

(k) build teamwork, supervise staff and arrange for their development;

(l) liaise with internal and external stakeholders on all matters relating to the School; and

(m) undertake any other duties as assigned by the Dean of the School or his/her delegates.  


Applicants should:

(a) have a recognised degree, preferably a research-based postgraduate degree;

(b) have extensive managerial experience, preferably in administration gained in tertiary education institutions;

(c) have experience in promotion and outreach activities in and outside Hong Kong;

(d) have excellent communication, interpersonal and presentation skills, as well as very good computer literacy;

(e) have the qualities of a team leader as well as a team player;

(f) be proactive, creative and flexible; and

(g) have an excellent command of both written and spoken English and Chinese (including Putonghua).

Shortlisted candidates will be invited to sit for a written test.

Remuneration and Conditions of Service 

A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement. Applicants should state their current and expected salary in the application.
