Key Purpose of the Job: 

Provide secretarial support for the VP of Regional Offices including appointment and travel arrangements, administrative & reports, clerical work along with document flow management. 

Be an ambassador for the VP of Regional Offices to create a positive Regional Offices’ culture.  Become the eyes & ears for the VP of Regional Offices to anticipate needs of the team and the country managers. 

 

Key Area of Responsibility:

  • Schedule appointments and reserve related resources.  Ability to prioritize on the behalf of Regional VP and make changes promptly with a high level of courtesy.
  • Follow up on delegated task and provide the Regional VP with routine status updates.  Consolidate the timing of updates to help the Regional VP with the tracking of the status.
  • Handle incoming calls timely and professionally. Ensure messages are passed to Regional VP timely to make the caller feel important.
  • Handle incoming visitors with attention of detail to ensure a smooth trip experience including and not limited to cost effective transportation, hotel arrangements, tips for new visitors to HK.
  • Attend team meetings, take minutes and prompt follow up on the behalf of the Regional VP.
  • Handle expense claims in accordance with company’s travel policy.  Be brave enough to challenge validity of claims to ensure understanding of the company’s policy.
  • Update and check KPI reports across all regional offices on monthly basis.
  • To make travel schedule, hotel reservations, visa applications and meeting schedule for internal team, overseas staff and visitors.
  • Take care of all urgent messages and other important matters in a timely manner.
  • Maintain a profession al interpersonal relationships and demeanor internally and externally.

Job requirement:

  • Operating in a fast-demanding pace with attention to details and a high degree of courtesy to the stakeholders
  • Ability to operate independently due to the limited availability of time with the Regional VP. 
  • Process oriented.
  • Being an ambassador for the Regional VP in a manner aligned with the CFO’s style and priorities.
