We are looking for a caliber candidate to provide the secretarial support to principals for business travel arrangement, meeting scheduling, calendar management and other project related support including itinerary management and business document preparation.  This person will also work closely with secretary team to share the workload and provide efficient support for the growing demand of the team.

Job responsibilities:

  • Provide secretarial support to 5 to 6 principals with coordination of travel and meeting, calendar management

- Establish good understanding on principal's interests and instructions, to well organize the time on calendar; to provide timely reminder as required

- Follow the travel policy to provide relevant arrangement on flights, trains, hotels and car services; anticipates and coordinates point-to-point travel and logistics needs, include but not limited to directions, commuting time and ground transportations, passport and visa processing

- Assist internal and external meetings and conferences which the principals is responsible for

- Help principals to claim the timesheet and expense report

  • Responsible for admin support to business related matters from principals or project teams 

- Work as a case team assistant to coordinate the group travel and case team meetings

- Coordinate internal and external printing resources for presentation document preparation for client meeting

- Printing and binding of tiles for project requests. Familiar with printers, binding machine and paper cutter to deliver high quality of printing, copying, scanning, cutting and binding

- Outdoor document delivery for the secretary team

- Assist principals or case teams on bidding material preparation and submission

- Team work with other secretary to balance the workload and provide backup support if required 

- Provide support to other office function or activities (include but not limit to x'mas party logistic support, social committee events, marketing events, etc) if required 

Job Requirement:

Degree holder with over 3 years of secretarial experience in professional services or MNC organizations

Excellent oral and written communication skills in English and Mandarin Chinese

Proficiency in MS Office (Word, Excel, Powerpoint, Outlook) 

Able to perform well in fast-paced, deadline drivers and service oriented environment

Flexible interpersonal skills and able to work effectively with all levels of staff

Convey a strong positive personal and professional image with excellent standards of professional behavior and ethics

Team player highly motivated, energetic, resourceful and friendly

Service-oriented, flexible and able to work under pressure
