Job Responsibilities

  • Assist the team to prepare Service Reports
  • Allocate new job number from job book and raise a new job file
  • Receive and copy Advice Notes, Time Sheets and Expense Claims upon the completion of each job
  • Copy the invoice, service report, advice notes and receipts and send all originals to customer ensuring all approved reports are scanned and saved on database
  • File and Archive of completed service job files
  • Log new jobs onto the computer system: Job Book, Job File and Service Planner Spreadsheet
  • Prepare the Sales Order for Service work after approval granted
  • Follow up a Service Attendance by issuing Service Reports and Certification to the customer as instructed
  • Raise the Sales Invoice for Service work after approval granted
  • Close out work in progress upon issue of the Sales Invoice
  • Liaise with customers in order to identify and resolve reasons for pending payment
  • Maintain the company vehicle log books
  • Maintain the holiday wall chart
  • Arrange Engineer travel schedule as assigned
  • To ensure coverage in the absence of the teammate
  • Other duties as may be assigned

Job Requirements

  • Tertiary Education or can be substituted by demonstration of sufficient relevant experience
  • Minimum 1 year experiences working in a similar position or operation role
  • Effective communicator with good command of written and spoken English, Chinese and Mandarin
  • Computer literate with particular emphasis on MS Office and email applications
  • Good interpersonal skills and well-organised
