Report to Global Head of Visual Merchandising and Store Planning to provide quantity surveying services to Graff global architecture department for worldwide store construction.

Duties include: 

Call for tenders 

  • Gather and Coordinate with the architect team the necessary drawings sets for tendering
  • Manage and prepare detailed Fitting- Out Schedule of Rates / Quotation formats for tendering in which construction details, mock-ups, materials &finishes, insurance, and labour…. must be itemized.
  • Manage and prepare Shop front Schedule of Rates for tendering
  • Manage and prepare M&E Schedule of Rates for tendering (based on drawings provided)
  • Manage and handle call for tenders process and the contractors related questions
  • Analyze bid returns and provide costs comparison and final recommendation
  • Provide Letter of Award 

Contracts and agreements 

  • Manage and prepare conditions of tendering documents
  • Manage and prepare contracts and agreements
  • Negotiate payment terms with contractors
  • Review contracts and agreements with Graff legal departments when required - Ensure contracts and agreements terms are in line with local regulations and laws (USA, Europe, Asia)
  • Bind contract documents for signing by both parties

Budget and invoices

  • Update and control the store planning construction CAPEX on a daily basis
  • Track and manage weekly project costs and cash flows against budget
  • Verify and control quotations from contractors and suppliers against SOR and drawings
  • Verify and control invoices from contractors and suppliers against quotations and contracts, and certify invoices for payment
  • Provide the certified invoices to management for visa and then forward the invoices to finance for payment. Follow-up on payments and systematically inform related parties when the goods have been paid
  • Prepare monthly budget updates
  • Handle other duties as assigned by management

Shipments coordination

  • Coordinate store goods and material shipments with logistics department and vendors:
    • Shop fronts
    • Showcases/Vitrines
    • Wall & Floor finishes…

  • Systematically inform the related parties when 1/the goods have been shipped, 2/when the goods have reached destination

Requirements:

  • Bachelor Degree in Surveying & Master Degree in Development & Planning
  • 5 years’ experience required
  • Expert knowledge in construction costs and contracts
  • Luxury Retail SOR experience essential
  • Able to work on multiple projects of different size, concept and complexity
  • Excellent command of written and spoken English. Mandarin is a plus
  • Methodical way of thinking, excellent problem solving skills
  • Excellent financial and numeracy management skills & Proficient in excel
  • Excellent coordination and negotiating skills
