Founded in 1884, The Hong Kong Jockey Club is a world-class racing club that acts continuously for the betterment of our society. Systems Project Administration Officer

The Security & Integrity Department is at the center of our core values in ensuring Integrity is preserved. Our work in Security, Integrity, Anti-Money Laundering, and Anti-Illegal Betting contributes to the Club’s management of financial crime and corruption risks. We strive to maintain a secure environment to ensure the smooth operation of the Club’s business, and uphold honesty and fairness to help to protect horse racing in Hong Kong.

The Job

The job holder reports to Assistant Security Systems Manager (Systems Services). He/she is mainly responsible for security systems administrative works to handle, update and housekeep all documents and records related to different stages of security systems projects, also the daily operation of EAM system (Maximo) to register, update and monitor the security assets, raise request and follow up the repair and maintenance services of security assets, record the associated expense of repair and maintenance for calculating the life cycle cost of different security assets. Assisting the team to conduct annual inventory checking and assets disposal. Providing administrative support to the security systems projects and day-to-day security systems operations.

 

You will:

  • Process, update and file all documents and records generated by security systems project at different stages from design, tendering, procurement, implementation, UAT, handover, repair and maintenance to disposal in accordance with the Club’s Information Classification & Handling Standard.
  • Register, update and monitor all security assets into the EAM system (Maximo) in accordance with the EAM Policy and Guidelines
  • Initial, follow up and report repair and maintenance service for the security assets through the EAM system.
  • Record and update the accounting of repair and maintenance costs in EAM system for calculating the asset life cycle cost.
  • Assist in annual inventory checking and assets disposal.
  • Provide administrative and clerical support to the project management and daily operation of security systems.
  • Handle day-to-day operation and other duties assigned by the Assistant Security Manager (Systems Services)
About You

You should have:

  • Higher Diploma or above with a minimum five years of administrative and clerical experience in assets and project management; and preference in physical security systems projects or relevant administrative works.
  • Project administrative skills on documents and records management on physical security systems projects;
  • Experienced operational skills on EAM system, preferred Maximo;
  • General administrative and clerical skills on project managements;
  • Good command of both spoken and written English and Chinese;
  • Hands-on experience in MS Windows, MS Office (Words, Excels & Outlook) and Chinese word processing;
  • Excellent communication and interpersonal skills;
  • Understanding of Corporate Security environment
  • Be proficient in handling projects documentation and records, administrative works of project management and assets registration
  • Is trustworthy, dependable, responsible, accountable;
  • Ability to work independently under tight schedule and stressed situations;
  • Interpersonal and communication skills;
  • Good team player
  • Be able to handle various tasks simultaneously and meet deadlines under tight schedule and stressed situations;
