We are seeking a highly organized and proactive Executive (Project) to join our Credit Union. You will play a key role in planning, coordinating, and executing a variety of events, including our Annual General Meeting (AGM), and other internal/external
functions.

Major Responsibilities:
  • Event Planning & Coordination: Manage the end-to-end process for assigned events (AGM, other internal/external functions, etc.), from concept to completion.
  • Venue & Logistics Management: Research, negotiate with, and secure suitable venues. Oversee all logistical arrangements (e.g., seating plans, audio-visual equipment, etc).
  • Vendor Sourcing & Management: Obtain competitive quotations and manage relationships with various vendors (venues, caterers, printers, merchandise suppliers, transport providers, etc.). Process purchase orders and invoices. 
  • Budget Tracking: Assist in managing event budgets, track expenses diligently, and ensure cost-effectiveness.
  • Ticket & Registration Management: Design and implement efficient systems for event registration, ticket distribution (physical or digital), etc.
  • Souvenir & Collateral Procurement: Source, order, manage inventory, and distribute event-related souvenirs and collateral (e.g., calendars, name tags, etc).
  • On-Site Event Support: Provide hands-on support during events to ensure smooth execution and handle any arising issues promptly.
  • Communication & Stakeholder Liaison: Maintain clear and timely communication with internal stakeholders and external partners (vendors, suppliers). Prepare event briefings and updates.
  • Post-Event Evaluation: Assist with post-event tasks, including feedback collection, expense reconciliation, and reporting.
  • Administrative Support: Handle general administrative duties related to event projects (filing, minutes, correspondence, database management). Supervise and manage the Project Team;
 
Requirements:
  • Degree/ Higher Diploma holder in Event Management, Hospitality, Marketing, Business Administration or related discipline;
  • Proven experience (minimum 2-4 years) in event coordination, project administration, or a similar role is essential. Experience in corporate events (AGMs, seminar functions) is a strong advantage.
  • Exceptional organizational and project management skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Strong negotiation skills and experience in vendor sourcing and management.
  • Meticulous attention to detail and a high level of accuracy.
  • Excellent written and verbal communication skills in English and Chinese.
  • Problem-solving skills and the ability to remain calm and proactive under pressure. Team player with a positive, can-do attitude and a strong sense of responsibility.
