Duties
The appointee will be required to:
(a) provide administrative support for inventory management operations, including coordinating periodic stock-taking exercises, monitoring inventory movements and conducting inventory reconciliations;
(b) liaise with internal units and external parties on inventory-related matters, including stock transfers, disposal arrangements and vendor coordination;
(c) prepare Requests for Quotations (RFQs), evaluate quotations received for obsolete, surplus and high-value inventory items;
(d) provide administrative and coordination support for contract management activities, including monitoring contract validity and coordinating renewal of blanket agreement;
(e) maintain proper records of inventory movements, stock transactions, disposals, procurement activities and contract documentation to support audit exercises; and
(f) perform any other duties as assigned by the Director of Finance or his delegates.
Qualifications
Applicants should have:
(a) a recognised degree;
(b) at least two years of post-qualification work experience in purchasing or other related areas, preferably gained in the tertiary education sector;
(c) knowledge of inventory control principles, procurement procedures, asset disposal processes, and internal control requirements;
(d) strong analytical, organisational and problem-solving skills, with a high level of accuracy and attention to details;
(e) good communication and interpersonal skills, with a positive and professional attitude when liaising with internal and external stakeholders;
(f) proficiency in Microsoft Office applications, particularly Excel, with hands-on experience in advanced functions, including VLOOKUP, PivotTables and spreadsheet analysis for inventory reporting;
(g) good command of both written and spoken English and Chinese; and
(h) the ability to work both independently and collaboratively in a team.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
