Duties
The appointee will be required to play an active, hands-on role in strategic event planning and stakeholder engagement to advance the University’s reputation, particularly through high profile events and visits. He/She will be required to:
(a) act as person-in-charge (PIC) for key University events from planning to execution, including programme design, rundown and workflow, guest journey/experience, on-site management, and post event evaluation and reporting;
(b) plan and manage stakeholder engagement activities and visits, with a strong focus on government officials, LegCo members and other VIPs, including stakeholder mapping, preparation of protocol and briefings, extension of invitation and RSVP management, drafting speaking points and follow-up engagement;
(c) coordinate event logistics and production with internal units, senior management and external contractors (e.g. venue setup, AV, staging, registration and contingency plans);
(d) develop event-related content, including suggesting event themes and key messages, drafting scripts/speaking notes, and planning content for social media, website and eDMs (e.g. ideas for kickoff/opening videos or multimedia elements, and key visual directions), in collaboration with the content team and designers;
(e) generate creative ideas for event concepts, gimmicks, audience engagement activities, key visuals for event campaigns and souvenirs, ensuring consistency with the University’s brand and appeal to different target stakeholders;
(f) support the administrative duties and operation of the Branding and Marketing team, such as management of purchasing matters and procurement procedures, souvenir sourcing, production and inventory operations, liaison with the campus bookstore and other sales channels (e.g. vending machine and souvenir e-shop) on restocking, pricing, sales reports etc; and
(g) perform any other duties as assigned by the Director of Office or her delegates.
Qualifications
Applicants should:
(a) have a recognised degree, preferably in Communications, Marketing, Translation, Language Studies or related disciplines;
(b) have at least six years of solid experience in branding and event management, preferably with experience gained in tertiary institutions or related organisations;
(c) have strong proficiency in both written and spoken English and Chinese, with fluency in Cantonese and Putonghua being an advantage;
(d) be attentive to details with strong organisational skills, problem-solving ability and strong sense of self-driven ownership;
(e) be self-motivated, able to work independently with the ability to manage multiple priorities and meet tight deadlines; and
(f) have the ability to establish close working relationships with multiple teams and individuals, as well as the ability to influence, persuade and engage stakeholders and peers.
Shortlisted candidates will be invited to sit for a written test.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
