Assistant Manager (Institutional Relations & Overseas Associations) (Ref. 260914006-IE)
Duties
The appointee will be required to:
(a) support the expansion and development of PolyU's overseas alumni network;
(b) identify, recruit, and engage alumni to serve as PolyU’s overseas connection points and/or ambassadors, and support their ongoing activities and regional engagement and management;
(c) plan, coordinate, and execute overseas alumni networking events and engagement activities, and host visiting overseas alumni on the PolyU campus;
(d) maintain regular liaison with overseas association committee leaders and external stakeholders;
(e) develop and implement strategic promotional campaigns and social media outreach initiatives to increase international alumni participation;
(f) oversee the management and segmentation of international alumni records, track engagement metrics, ensure compliance with global data privacy requirements, and deliver analytical reports to support strategic outreach efforts;
(g) explore potential non-local internships and other learning opportunities for PolyU students through the overseas alumni network;
(h) facilitate connections between overseas alumni and PolyU exchange students;
(i) support the long-term strategic development of the University’s global alumni community;
(j) support the handling of the University’s agreements with partner institutions; and
(k) perform any other duties as assigned by the Director of Global Engagement or his/her delegates.
Qualifications
Applicants should have:
(a) a recognised degree or an equivalent qualification;
(b) at least five years of post-qualification experience in alumni relations, stakeholder engagement, or event management with substantial experience in working with overseas organisations, preferably institutions and diverse populations;
(c) demonstrated experience in project administration, including budgeting, resource allocation, and maintaining accurate documentation and records throughout the project lifecycle;
(d) demonstrated experience in developing and delivering marketing, promotional, or social media outreach campaigns aimed at engaging a dispersed or international audience;
(e) substantial experience in data management, interactive dashboards, including analytical reporting to support strategic decision-making;
(f) proficiency in MS Office and strong knowledge of IT applications;
(g)demonstrate familiarity with data privacy compliance requirements;
(h) an ability to manage multiple projects concurrently with tight timelines, while liaising effectively with a wide range of internal and external stakeholders; and
(i) an excellent command of both written and spoken English and Chinese, with fluency in Putonghua.
Shortlisted candidates will be invited to sit for a written test.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
