Job Summary:

The objective of this position is to ensure the efficient and smooth operation of the Facilities maintenance for the Club by effectively managing the administration of the Facilities Management function and liaising directly with the outsourced Facilities Management Company (FMC). This position will also manage the Club’s Valet and transportation team.

Job Duties and Responsibilities:

Liaison with Facilities Management Company (FMC)

  • Carry out routine inspections of service delivery and work closely with the DFD to monitor and report on the FMC performance against SLA & KPI.
  • Ensure the FMC maintain all relevant SOP in up to date soft & hard copies.
  • Ensure the FMC are capturing and processing all Work Orders as per SLA.
  • Ensure the FMC are maintaining an up to date asset database and a comprehensive Planned Preventative Maintenance schedule.
  • Ensure the FMC are delivering the Planned Preventative Maintenance as scheduled.
  • Ensure the FMC are delivering CapEx projects as scheduled and within budget.
  • Ensure all contracts, service agreements, government regulations and safety standards are maintained and properly followed through by the FMC.
  • Prepare and review operational reports and schedules to ensure accuracy and efficiency.
  • Administer all safety and Facilities related training records for the Club.

Management of the Valet and Transport Team (VTT)

  • Manage the Valet Captain to deliver Valet services in both the Town Clulb & Country Club car parks.
  • Manage Club Driver to ensure delivery services required by Country Store & Club operations.
  • Manage investigation of all incident reports including Member complaints and vehicle damage.
  • Regularly review the Valet roster with the Valet captain to ensure effective use of full-time staff and minimum use of casual labour.
  • Develop and manage the delivery of regular VTT related training programmes.
  • Carry out weekly briefing to VTT.
  • Conduct performance reviews for the VVT.

Other projects and administration requirements

  • Act as Club’s representative in liaising on administrative matters with the Landlord’s representative in the Town Club (TC), Town Club Management Office (TCMO) and Town Club Service Centre (TCSS).
  • Prepare calendar, agenda and presentation for Development Committee meetings and attend the meetings and take minutes.
  • Work with the Director Facilities & Development in preparing, managing and reviewing Facilities, VTT & FMC OpEx & CapEx budgets and reports.
  • Manage the Administrative Assistant to maintain all files, records and drawings both electronic and hard copy for all relevant Facilities & Development operations.
  • Manage the Administrative Assistant to ensure TAC’s records of memorabilia items are kept up to date.
  • Manage the Administrative Assistant to administer the meal voucher and canteen requirements for the Facilities & Development, FMC & VTT staff.
  • Manage the Administrative Assistant to carry out TCSS office management duties.
  • Conduct performance review for the Administrative Assistant.
  • Any ad hoc duties or projects assigned by the Director of Facilities

Job Specification:

Education

  • Diploma in Facilities Management, Property Management, Project Management or related discipline.
  • Professional qualification in Facilities Management, Property Management, Project Management or related discipline preferred.

Experience

  • At least 3 years’ experience in Facilities Management.
  • Experience in private clubs, hotels or hospitality industry is preferred.
  • Strong administration management experience including document management, minute taking and project coordination.

Skills

  • Excellent people management and communication skills in Chinese & Western cultures.
  • Bi-lingual in spoken and written Cantonese & English.
  • Excellent organizational, time management and analytical skills.
  • Ability to problem solve and work independently in a changing and multi-tasking environment with numerous deadlines.
  • Ability to manage the requirements of multiple stakeholders.
  • Ability to prepare and manage budgets.
  • Competent in Microsoft Word, Excel, Outlook and PowerPoint.
